In a prior world, lifetimes ago, I was working for a company where we did a lot of reporting on our operations. The people managing and reviewing these reports weren’t analysts either, they, myself included, were operators. One day, my district manager shared a quote with us that has stuck with me, “Business reporting is not dealing with objects, it is dealing with the relationship between objects.” This was a statement made by Hasso Plattner, a very accomplished businessman and founder of SAP, but this quote resonated with me.

Whether you’ve just started using Ollie or you’ve been running your brewery on it for years, one thing’s clear: your data is your secret weapon. And if you’re still using spreadsheets or another software, continue reading so you can discover how Ollie can become your single source of truth—making it easier to spot inefficiencies, improve your processes, and uncover opportunities you didn’t know were there.

We asked the crew here at Ollie to share their favorite reports in Ollie. A lot of our team comes from brewing, operations, or craft beverage sales backgrounds—so you’re getting picks from folks who’ve been in your shoes. Check out these three reports you might not be using yet (but definitely should be).

Don’t get us wrong—those excise reports are key for making tax reporting a breeze. But there’s a lot more under the hood in Ollie. These reports we’re going to highlight? They’re versatile, valuable, and built to help any brewery regardless of size, capacity, and region.

Our Sales Reports are some of the top ones we see being utilized by breweries using Ollie brewery software the most. Specifically, the “Sales by X Report” is a customizable and dynamic look into your brewery’s sales performance and allows you to peek at your data in many different ways with purpose.

This is an excellent report to quickly grab a quick snapshot of your sales or cost of goods sold during specific time periods and gives your team the ability to effortlessly compare weeks or months. It’s also incredibly easy to look at your product sales in that window.

One of my favorite ways to run this report is comparing unit sales on a monthly basis to get a better feel for customer ordering consistency. If you’re utilizing our Customer Groups feature, this report is a fantastic tool to help you better understand sales performance within your defined groups, enabling you to uncover trends and opportunities.

Overall, it’s a powerful report that serves many different roles in reporting your brewery’s sales numbers. This is certainly a report you should be reviewing monthly, but a case can be made for looking at it weekly or even daily!

Inventory Depletion Report: What's Finished vs. What's in Production?

This report is amazing for investigating your finished goods on hand versus your production. If you find yourself out of stock on a product variant, and it’s not due to lack of brewing capacity this report will be a boon to you.

By month, it will display your depletion (sales and adjustments) organized by product. If you find yourself jumping too many ½ bbl kegs to ⅙ bbl kegs you may need to keep a close eye on this report to find where your discrepancies are.

Sure, checking this report monthly is a great habit—but it really shines when it’s part of your regular production meeting routine. Whether you’re meeting every week or just once a month, this report can help you stay ahead of demand and dial in smarter packaging runs.

Honorable Mention: Inventory Reconciliation Report

It was a close call, but this report tied with the Sales by X Report for most-loved by the Ollie crew. It’s honestly an amazing report to help you with your inventory. If your brewery is working with multiple locations, a variety of storage locations, or you have just one coldbox– all of your product is flowing through this is the report to track down inventory.

The Inventory Reconciliation Report provides a summary of finished goods in and out of every location with a full breakdown by product including your starting and finishing inventories.

If your Ollie Finished Goods inventory isn’t in alignment with a hard count this is the report to review. Running this report monthly will ensure you understand where your inventory is going and why.

Sales by Lot: The Data Your Brewery Needs to Succeed

The Sales by Lot report is one of the most important reports in Ollie. If you’re not reviewing this report on a regular basis then you’re not taking full advantage of what Ollie has to offer you.

This report displays every sale, by product, by customer, by lot displaying revenue, cost of goods sold and profitability. First and foremost, if your packaging team had an off day and put out a run of cans with questionable seams you can run this report to see which one of your customers received those specific lots of beer.

On top of that, and this is huge, you can look at your profitability by lot code. You can investigate whether any price increases are influencing your bottom line profitability. The key here is understanding not only what beers you’re delivering to the market, but if it’s profitable for you to do so. There is a “sweet spot” for every business between volume and profitability and Ollie’s Sales by Lot Report is the go to report for guiding your brewery’s business’s strategy.
